The use of artificial intelligence (AI) has become increasingly important in recent years and offers businesses and public authorities a wide range of opportunities to make processes more efficient and productive. The transition to AI projects is becoming indispensable, particularly when it comes to utilising internal data sources. This is evident, for example, in the creation of bespoke customer quotes or in the use of generative AI in software development projects. Below, we provide an overview of practical application scenarios that enrich day-to-day work in public administrations and businesses and make it more efficient.

Application scenarios for AI in public sector organisations and businesses

Over the past few months, Materna has worked with clients to develop a whole range of application scenarios in which AI offers tangible benefits. In our new white paper, “Sovereign AI Solutions for Businesses and Public Authorities”, we provide in-depth insights into how organisations can harness the full potential of AI. 

Here is a brief overview of the application scenarios: 

  • Supporting administrative staff 

Classifying and processing written enquiries, searching for information in specialist databases, creating file notes and summarising draft resolutions make up a large part of many administrative processes. AI can take over much of this work, thereby mitigating the impact of the skills shortage.

  • Intelligent chatbots for digital services 

They can reproduce the content of official texts in plain language or translate them into foreign languages, thereby simplifying access to digital services: we are talking about AI-based chatbots. They provide expert answers without users having to enter specific keywords or phrases. In many cases, it is sufficient to use AI to give existing chatbots additional capabilities.

Whether it’s a member of the public’s enquiry, a grant application or a request for administrative assistance: generative AI classifies documents and texts based on the meaning of their content. And that’s not all: depending on requirements and default settings, it sends the appropriate acknowledgement of receipt, assigns the letter to an existing file and, if requested, generates suggested replies. 

  • Less effort and greater speed in administrative procedures 

When planning construction projects, setting up new public services or implementing environmental protection measures, AI provides support with summaries of the content of minutes, submissions and files. This enables staff to achieve more more quickly with less effort. 

  • AI assistance for finance and controlling 

Generative AI is highly effective at analysing existing data and converting it into structured reports. Automatically generated financial reports and forecasts ease the burden on the accounts department and provide management with meaningful, timely information on which to base decisions. Furthermore, AI-powered chatbots can help clarify how figures are arrived at and develop decision options for budget planning. 

  • More Effective Fraud Detection 

Fraud detection is becoming increasingly important in the finance and insurance sectors, as well as in online retail. AI applications help to analyse rapidly growing volumes of data in real time and identify suspicious transaction patterns. 

  • AI-supported manufacturing: working alongside robots 

For some time now, AI-powered algorithms have been helping logistics operations to deploy machines and staff more efficiently. This also helps to reduce storage times for materials and semi-finished parts. And the use of AI in factories continues to advance: it enables robots to be controlled using natural language commands and ensures quality through visual inspections. 

Only those who take the first step will benefit 

ChatGPT and the like have convinced millions of people worldwide of the benefits of AI in a very short space of time.
